General Summary
The Vision Services Representative (VSR) performs a vital role at The Sight Center of Northwest Ohio, often serving as the first point of contact for our clients who are blind or have low vision. This person should be highly motivated, personable, and client-focused.
The Vision Services Representative assists with day-to-day clerical and administrative tasks and manages all incoming client referrals and scheduling duties.
Essential Duties
- Receives, processes, and manages all referrals.
- Schedules client services in a timely manner.
- Schedules interpreter services for clients and transportation accommodations for service staff as needed.
- Ensures appropriate funding source is established prior to scheduling.
- Reviews potential out of pocket costs with clients and collects payments due.
- Contacts clients prior to appointments to confirm, tracks appointment compliance, and escalates compliance concerns when necessary.
- Initiates records requests with routine or specialist eyecare doctors.
- Handles case closures for individuals who have not engaged in services. Completes case closure process for active clients after case manager confirms that further services are not warranted or wanted.
- Works closely with other staff to coordinate in office coverage and adjusts service staff schedules for meetings, conferences, time off, etc.
- Complies with HIPAA regulations and maintains confidentiality of all staff and patient information.
- Greets and escorts clients and customers throughout the building as needed.
- Answers incoming phone calls and routes calls to appropriate staff.
- Distributes incoming mail and faxes to appropriate staff.
- Tracks incoming payments for bank deposit daily.
- Checks obituaries for Lucas and Wood counties weekly – updates records
- Performs other duties as assigned.
Knowledge, Skills and Abilities Required
- Two years of prior experience in an office setting is preferred.
- Ability to function well in a team environment.
- Must be detail oriented, possess good organizational skills, and be self-directed.
- Must possess strong interpersonal skills in order to effectively and pleasantly interact with a diverse client base, particularly seniors and individuals with disabilities.
- Excellent written and oral communication skills in person, on the phone, and email.
- Proficient with computer systems including Word, Excel, Outlook, and the ability to quickly learn new software programs.
- Knowledge of basic office operating equipment required including printers, postage machines, and computers
